Start with the commercial questions
1. Separate the products and meters
Record the applicable product, edition, deployment, unit and committed volume from the executed agreement. Do not collapse several modules into one average seat rate.
2. Reconcile entitlement and usage
Bring licensing records, operational activity and contract definitions together. A lack of recent logins alone does not establish that a license can be removed.
3. Price the revised scope explicitly
Ask for a line-item quote, including minimum commitments and repricing conditions. A smaller operational population may not reduce a contractual minimum.
Synthetic example: activity is a question, not a saving
Imagine 100 recorded licenses and 20 accounts with no recent activity. That does not establish 20 removable licenses or a 20% cost reduction.
- Confirm which products and contractual definitions those records represent.
- Check seasonal activity, scheduling, recording and retention needs.
- Determine whether a committed minimum still applies.
- Obtain a supplier quote for the agreed revised scope before quantifying an outcome.
