Start with the commercial questions
1. Define the governed estate
Reconcile tenants, covered populations, operator access and the commercial unit.
2. Validate the capabilities needed
Ask responsible owners to substantiate administration, automation, reporting and recovery needs. A feature list alone is not evidence of adoption.
3. Request a written scope mapping
Compare existing entitlements and proposed packages, dependencies, service fees and future adjustments without silently substituting newer bundles.
Start with the contract, not the headline discount
Record the exact product and edition, billing unit, committed quantity, measurement period and renewal notice date. Keep software fees separate from services and other charges. A reduction in operational use does not automatically reduce a contractual minimum.
