- Start with one SKU. In this fictional example, 200 seats cost $360,000 per year. Use the annual recurring seat subtotal only; exclude services, tax, separately priced support, consumption, and other products. Custom and legacy contracts are not automatically mapped to current bundles.
- Normalize the baseline. $360,000 divided by 200 seats and 12 months equals $150 per seat per month. That is a cost calculation, not a market-price verdict or total contract value.
- Test your own scenario. Model 170 seats at the same $150 monthly rate. Validate usage, dependencies, and reduction rights first. The tool does not identify inactive users.
- Compare the modeled change. The scenario is $306,000 annually, $54,000 below the fictional baseline. This is an assumption-based difference—not promised or achieved savings.
- Keep the dates separate. The example supplies a July 1, 2027 notice deadline and September 1, 2027 renewal. Preparation milestones are not contractual deadlines. Copy the verified notice date from your contract, check delivery requirements, and leave unknown dates blank.
- Track your preparation. Use the checklist to organize what needs validation. The checked items demonstrate the interface, not evidence of a real review.
- Edit the vendor email. Request an itemized proposal and renewal protections. Nothing is sent by the Workspace. Input changes preserve your edits; review the draft before sending it yourself.
- Export your work. Save JSON, all-day calendar reminders, or a printable PDF brief. Figures and drafts stay in your browser. Store exported files carefully.
