- 0:00–0:05 Same usage. Different bill. The unit rate is only part of the story. This preview compares an annual pool with a monthly reset using the Workload Automation Consumption Workbook.

- 0:43–0:52 The monthly-reset overage charge is $40,000, bringing the modeled cost to $165,000. The $26,250 difference is specific to this usage pattern and these assumptions—not achieved or promised savings. Ask whether the supplier offers alternative allowance rules and how those terms are priced.

Start with the commercial questions
1. Confirm what the supplier bills
Take the unit definition from the executed agreement or quote. A job, task or execution is not automatically one billable unit. Record the allowance, measurement period, fixed fees and overage rate.
2. Build the monthly usage pattern
Enter 12 consecutive full calendar months, separating actuals for closed months from forecasts for open months. Keep dated source references. An annual total alone hides when usage exceeds a monthly allowance.
3. Test the rules, then reconcile the result
Choose annual pooling or monthly resets, review validation messages and compare the modeled cost with the supplier quote. Alternative allowance structures may carry different prices; do not hold rates constant in a real negotiation unless the supplier confirms them.
Synthetic example: the reset rule changes the modeled cost
Both scenarios use the same 12.55 million units, 12 million included units, $120,000 fixed fee, $5,000 one-time charge and $0.025 per overage unit. All amounts are USD; tax is excluded. These are invented inputs—not supplier prices or market benchmarks.

$26,250 is a modeled difference, not a savings claim. In the monthly-reset scenario, 1.05 million units expire unused in quieter months while later peaks generate overage. Unused allowance is not a refund. The annual pool must be available from the start of the modeled period.

Is this a rightsizing tool for all SaaS, PaaS or other software?
No. Delivery labels do not determine model fit. This workbook supports the stated usage-and-allowance mechanics; it does not optimize user roles, editions, concurrent capacity or every type of software license.
Can I compare annual pooling with monthly resets?
Yes, by saving separate scenario copies and using the same usage pattern. Enter the actual quoted price for each alternative. Equal prices in the demonstration isolate the reset-rule effect; they do not establish what a supplier will offer.
Do I upload renewal data to RenewalIQ?
